5 Strategies to Maximize AEP Success

Whether you’re navigating your first Annual Enrollment Period (AEP) or you’re a seasoned veteran, starting strong is key. Here are five strategies to help you make the most of your time during this crucial period.

  1. Time is Your Most Valuable Asset

The AEP spans 54 days, but once you account for holidays like Thanksgiving and weekends, your actual window for meeting clients is even smaller.

It’s crucial to stay organized from the outset. Begin reaching out to your clients on October 1 to schedule annual plan reviews. If you anticipate that a client may want to switch plans, be proactive in communicating that. Ensure your call lists and leads are prepared before AEP begins. Scrambling for leads during AEP will only take away from your valuable selling time!

  1. Preparation is Crucial for AEP

Laying a strong foundation is essential for maximizing AEP. This means completing all contracting and certifications before October 15. Between July and September, carriers and organizations release their annual certification courses for selling Medicare Advantage and Part D plans.

From August to October, carriers provide licensed agents with details about next year’s plans. This gives you the opportunity to plan your selling strategy and identify which carriers will be your primary focus. Entering AEP with a clear understanding of the strongest plans — and the products your clients will be seeking — will leave you better prepared for plan reviews.

  1. Prioritize Client Retention

Reach out to all of your current clients, even if their plans remain unchanged. While it’s easy to worry about losing clients whose plans might be affected by changes, remember that your clients are also prospects for other agents.

This process doesn’t have to be time-consuming. Draft a letter to inform your clients that you’ll be reviewing their plans as market information becomes available and that you’ll reach out after October 1 to discuss any changes that could impact their current coverage. Offer them the chance to pre-schedule an AEP appointment if they’ve experienced major life changes, such as new doctors, new medications, or an upcoming move.

  1. Don’t Overlook Additional Opportunities

Ensure you don’t miss potential cross-sale opportunities. Whenever you’re in front of your clients, ask questions that could reveal additional coverage needs. For example, inquiring about a family history of cancer might lead to a supplemental cancer policy sale.

Sales don’t always have to happen on the spot, and in some cases, CMS regulations may prevent them. Focus on securing your client’s primary coverage first, then schedule a follow-up meeting to confirm everything went smoothly with their enrollment. Use that time to discuss any ancillary products that could offer added protection.

  1. Adopt a Marketer’s Mindset

While providing excellent service to your clients is your top priority, marketing yourself should be a close second. Make sure your clients know that you’re available to help them with their questions and needs throughout the year. Regularly reach out to them with birthday cards, newsletters, or quarterly emails/mailers. This way, they’ll think of you when someone they know has insurance questions. Follow up with your clients once their plans are active to ensure they’ve received their enrollment materials and understand how their plan works. Your clients are your most valuable assets. Treat them with the care, respect, and understanding they deserve.

By following these simple strategies, you’ll find that your busiest season becomes a much smoother experience.
